Coach & Volunteer Requirements

Thank you for your interest in being a volunteer at EWA Sports and supporting our mission to help children thrive!  Without volunteers like you volunteer organizations, such as EWA Sports, would not be able to thrive in service to the local community.  To best protect the safety and health of EWA Sports participants and in support of the EWA Sports culture in creating a safe, positive, and encouraging environment there are several administrative items that must be completed prior to being eligible to be approved as a volunteer. Whether you are volunteering to coach, serve on the Board, or are volunteering to serve in any other official capacity EWA Sports requires training of all volunteers to meet compliance with law as well as insurance.  In addition, all volunteers and coaches by agreeing to serve are required to accept responsibilities associated with satisfying requirements to serve as a "Designated Individual" (DI). ( see below).


Please do not start the Coach & Volunteer Training Registration step ( BOTTOM of PAGE) until you have completed and downloaded all training course certificates and reviewed all other materials including EWA Policies.  This registration process requires you to upload all course certificates and acknowledge understanding of all EWA Policies and Plans related to Health and Safety.

In compliance with Federal Law ( Safe Sports Act), TN Safe Stars Act, and Insurance requirements all volunteers must agree to the following:
1) Release EWA Sports to conduct a criminal background check.
2) Complete the following Training Courses ( All but CPR/AED are free)
     a) CPR and AED ($10 cost)
     b) Sudden Cardiac Arrest (SCA)
     c) Concussions Awareness ( Recognition, Prevention, Signs and Symptoms)
     d) Heat Illness
     e) Abuse Protection

In support of the above training requirements, EWA Sports has implemented Policies intended to promote awareness and response to these areas of health and safety. These Policies include:
1) EWA Sports Youth Protecion Policy
2) EWA Sports Safe Play Policy
2) Severe Weather
3) Lightning Policy
4) Notification Requirements
5) Return to Play process.

All volunteers must thoroughly review these policies, complete an acknowledgement, and agree to follow the associated requirements.

In addition to the Parent and Participant Code of Conduct all Volunteers must acknowledge understanding and acceptance of the Coaches Code of Conduct.





Instructions for NFHS Training

Before registering on ewasports.com for Coach or Volunteer Training all NFHS courses must be completed and certificates available to upload during the registration.

Create an account at: https://nfhslearn.com/
Be sure to use your legal name. 
Complete the 5 required courses.
Be sure to download course certificates.  You will need these for upload into ewasports.com volunteer training system. 

EWA Sports may be able to accept training certificates from other providers. 
All courses are free with the exception of the CPR/AED course, which costs $10 through NFHS. 
All courses are valid for 1year after completion.

NOTE:  If you took the NFHS training for winter basketball, you will need to access your NFHS account and download those certificates.  You do not need to retake the courses.


Designated Individual Requirements

Designated Individual Requirements in Compliance with TN Safe Stars Act

1. All EWA Sports Volunteers and Coaches must agree to serve as Designated Individuals at all times when participating in EWA Sports activities. 

2. In compliance with the Act, at least one EWA sports approved volunteer or coach, must be present at every team practice and game to supervise and maintain a safe environment for the participants having completed and agreed to be responsible for the duties as a Designated Individual.

3.The Designated Individual has completed and will annually complete a concussion recognition and head injury safety education course in compliance with Tenn. Code Ann. § 68-55-502.

4. The Designated Individual has completed and will annually complete the sudden cardiac arrest education program in compliance with Tenn. Code Ann. § 68-6-103.

5. The Designated Individual has received adequate CPR and AED training.

6. The Designated Individual is familiar with the Youth Organization’s emergency action, anaphylaxis, severe weather, and lightning plans.

7. The Designated individual has completed and will annually complete a heat illness prevention course. 

8. The Designated Individual acknowledges to EWA Sports that he or she understands the requirements and importance of the courses, emergency action, anaphylaxis, severe weather, lightning, and heat illness plans.

ACKNOWLEDGEMENT
9. I understand and accept that EWA Sports is relying upon this Certification when entering into an agreement to serve in as an approved volunteer or coach with EWA Sports. 

Instructions to Register and Complete EWA Volunteer Training


This online portion of Volunteer training is intended to ensure that all volunteers have acknowledged their responsibilities. 


Instructions for Completing the Registration on EWA Sports Website:
Do NOT select any option to "register a player".  You are registering as a volunteer. 
1) Login to your ewasports account.
2) From "My Account" Navigate to " the "Volunteer" tab and select.
3) Click "Find Volunteer Roles"
4) Select 2026 EWA Sports Volunteer Training "View Divisions"
5) Select the appropriate box ( if you're coaching more than one division just choose one)
6) Select "View Selected Opportunities"
7) Select Volunteer
8) Select "Sign up Your Name" and "Continue"
9) You should now see the Registration questions and file upload options.

Do not email your certificates...we cannot accept them via email and they must be uploaded.


Tennessee Code Annotated 49-6-3601 TN Safe Stars Act

Highlighted portion of the following copy of TCA 49-6-3601 may be applicable to community youth programs.

EWA Sports contends that WCPR/County is the organizer for the programs we participate, however, EWA Sports is compelled to meet this burden on behalf of the County

TCA 49-6-3601. Safety standards for school youth athletic activities — Code of conduct for coaches.

(a) As used in this part:
(1) “LEA” has the same meaning as defined in § 49-1-103; and
(2) “School youth athletic activity” has the same meaning as defined in § 68-55-501.
(b) Each LEA and public charter school that provides a school youth athletic activity, the following safety standards must be implemented:
(1) All coaches, whether employed by the LEA or public charter school or a volunteer, shall:
(A) Annually complete the concussion recognition and head injury safety education course program required under § 68-55-502;
(B) Annually complete the sudden cardiac arrest education program required under § 68-6-103;
(C) Receive training in cardiopulmonary resuscitation (CPR) and in the use of automated external defibrillators (AEDs); and
(D) Comply with all applicable background check and fingerprinting requirements of § 49-5-413;
(2) The following plans and policies must be implemented at each public school, including public charter schools, for school youth athletic activities:
(A) An allergy and anaphylaxis emergency response plan that:
(i) Identifies the signs and symptoms of allergic reactions, including severe allergic reactions and anaphylaxis;
(ii) Provides information relating to the storage, location, use, and administration of epinephrine auto-injectors; and
(iii) Includes emergency follow-up procedures;
(B) An emergency action plan that facilitates, organizes, and provides for the rehearsal of the actions of coaches and athletes in an emergency; and
(C) A severe weather policy that requires all coaches who oversee or participate in outdoor training, practice, or competition to annually:
(i) Complete a heat illness prevention course approved by the department of health; provided, that all coaches shall complete the course no later than ninety (90) days after the start of the coach's employment or volunteer service, and annually thereafter. After the coach completes the first heat illness prevention course, the coach shall annually acknowledge in writing that the coach completed the course as required under this subdivision (b)(2)(C)(i), and that the coach understands the requirements and importance of the course; and
(ii) Receive training on activity modifications based on environmental conditions, such as lightning; and
(3) Each LEA and public charter school shall encourage all coaches, whether employed by the LEA or public charter school or a volunteer, to annually complete training in physical conditioning and in the use of training equipment to the extent such training is readily available.
(c) Each LEA and public charter school that provides a school youth athletic activity:
(1) Shall develop a code of conduct for coaches; and
(2) Is encouraged to visit the department of health's website to review the safety standards recommended for each level of recognition provided as part of the department's “Safe Stars Initiative”, and to communicate with the department to ensure that all safety measures are up to date.
(d)
(1) Beginning with the 2023-2024 school year, an LEA or public charter school that provides a school youth athletic activity in which youth fourteen (14) years of age or younger are eligible to participate shall implement subsection (c) and ensure that the safety standards outlined in subsection (b) are implemented by all individuals actively involved in organizing, training, or coaching the school youth athletic activity at the LEA or public charter school.

(2
(A) Beginning with the 2023-2024 school year, a private school, as defined in § 49-6-3001, shall implement subsection (c) and ensure that the safety standards outlined in subsection (b) are implemented by all individuals actively involved in organizing, training, or coaching a school youth athletic activity that is provided by the private school, if:

(i) Youth fourteen (14) years of age or younger are eligible to participate in the school youth athletic activity; and
(ii) The school youth athletic activity is conducted on property that is owned, managed, or maintained by this state or a political subdivision of this state.
(B) Private schools are encouraged to comply with the safety standards outlined in subsections (b) and (c) for school youth athletic activities that are not subject to the requirements of subdivision (d)(2)(A).
(3) Cities, counties, businesses, and nonprofit organizations that organize a community-based youth athletic activity, as defined in §§ 68-6-102 and 68-55-501:
(A) Are encouraged to comply with the safety standards outlined in subdivisions (b)(1)-(3) and subsection (c); and

(B) Shall ensure that at least one (1) individual who is actively involved in organizing, training, or coaching the community-based youth athletic activity has completed, and is in compliance with, the safety standards applicable to coaches and volunteers outlined in subdivisions (b)(1)-(3) and subsection (c), and that at least one (1) individual who has completed, and is in compliance with, the safety standards applicable to coaches and volunteers outlined in subdivisions (b)(1)-(3) and subsection (c) is present at each practice and competition of a community-based youth athletic activity, if:

(i) Youth fourteen (14) years of age or younger are eligible to participate in the community-based youth athletic activity; and
(ii) The community-based youth athletic activity is conducted on property that is owned, managed, or maintained by this state or a political subdivision of this state.
